At a glance
Downloads need understandable labels and a clear owner. Otherwise outdated forms and conflicting document versions can remain available for a long time.

Approach and context
Keep a small register of document names, owners, publishing locations and review dates. Mention file type and size where useful. Before replacing a file, decide whether existing URLs must remain available or be intentionally changed. A publicly reachable file link is not a protected member area. Confidential material requires an appropriately designed access arrangement.
Implementation checklist
- Identify documents by their purpose and approved version.
- Find links to older versions before replacing a file.
- Test downloads on a phone and without a logged-in editorial account.
Illustrative example
An annual registration form receives a visible version label. The editor also reviews links on earlier event pages rather than changing only the download linked from the homepage.
A common pitfall
Uploading a new file does not automatically remove old files from every published location.
How to check the outcome
Visitors can find the correct version and understand what they are about to download.
