A vacancy page works only when applicants understand how to apply. The advert, upload process and confirmation should be considered together.
Approach and context
Separate the position from general company information. Explain meaningful responsibilities and the documents needed for an application. Agree where submissions are handled and how closed vacancies will be treated. Do not place confidential applicant files in an ordinary public media area. Privacy arrangements must be established for the organisation’s real process.

- Structure duties, requirements and the application route clearly.
- Test file formats, upload limits and receipt using a sample case.
- Define how closed or paused vacancies are displayed.

A position is no longer open. Rather than continuing to invite submissions through an active form, the page shows a clear status and, where appropriate, links to other available roles.

A successful upload does not prove that the responsible recruitment team can access the application.
